What should a Thai employment certificate include?

It normally shows your name, position, start date, salary and employer details, signed by an authorized person on company letterhead. Visa applications often need an English translation, and some countries ask for notarization or legalization. Check the exact wording required by the embassy or authority you are applying to.

Bilingual, notarized, MFA-legalized, and (if needed) embassy-stamped for overseas acceptance.

Quick Answer

Full package (employer letter + notary + MFA legalization) from a fee quoted after review. With embassy stamp: a fee quoted after review. Fallback via SSO/RD when the employer refuses to cooperate.

FAQ

Why do I need employment verification for overseas use?
Foreign employers, visa officers, banks, and universities require verified employment history. Thai employment letters must be notarized, MFA-legalized, and (for many countries) embassy-stamped or Apostilled to be accepted abroad.
What documents do you prepare?
Employer letter (bilingual), salary certificate, tax withholding certificate (50 Tawi), social security history, provident fund statement, and organizational chart — all notarized and legalization-ready.
Can you get a letter if my previous employer refuses?
Yes — we can extract equivalent proof from Social Security Office (SSO) records, tax filings (RD), and provident-fund statements. This is often accepted where the original employer is uncooperative or defunct.
Cost & turnaround?
Fees depend on the documents, destination and urgency. Send your documents for a written quote after review — no prices are published. Any government or embassy fees are set by the authority; verify them directly before filing.

What an assessing authority is actually testing

An employment or work-experience certificate is rarely read as a courtesy letter. Skills assessment bodies, licensing regulators and immigration officers read it as evidence of four specific things: that you were employed by a real entity, for a stated period, in a stated role, performing stated duties at a stated level of responsibility. A letter that confirms only the first two — the classic Thai HR letter stating that Mr X worked here from date to date — satisfies almost none of them.

This is why the same applicant can be refused with a genuine letter and succeed with a rewritten one covering identical facts. The rewrite adds duty statements aligned to the occupational description the assessor uses, hours per week, reporting line, and whether the role was full-time, part-time or contract. Nothing is invented; the letter simply answers the questions the assessor is required to tick.

Corroboration is the second half. A letter unsupported by independent records is a statement by an interested party. Social Security Office contribution records, personal income tax filings, payslips and the employer's own Department of Business Development registration extract turn the letter into an evidenced claim, and they are frequently accepted where the employer has since closed or stopped responding.

Evidence layers, from strongest to weakest

EvidenceWhy it carries weightPractical note
Social Security contribution historyThird-party government record tied to the employer's registrationObtainable by the employee; often rescues older employment
Personal income tax recordsIndependent record of declared employment incomeUseful where remuneration level is being questioned
Payslips with employer identifiersContemporaneous, periodic, hard to construct retrospectivelyBring a continuous run, not selected months
Employment certificate on letterheadDirect statement of role and dutiesMust include duties, hours and reporting line to be useful
Employment contract and any variationsEstablishes the agreed role at the outsetAttach amendments; a promotion invisible in the contract needs explaining
Company DBD registration extractProves the employer exists and its objectives match the claimed workAlso fixes the correct registered Thai and English company names
Colleague statutory declarationFills gaps where records are unavailableWeakest layer alone; strongest when it corroborates records

Drafting the certificate so it survives assessment

  1. Identify the target standard first: An Australian skills assessment, a Gulf licensing body and a European work-permit file each want different emphases. Draft to the actual criteria, not to a generic template.
  2. Fix the entity's identity: Use the registered Thai company name and its official English rendering from the DBD extract, plus registration number and address, so the entity is verifiable.
  3. State the period precisely: Exact start and end dates, any unpaid leave, and any change of role with its own date. Gaps that are visible and explained beat gaps that are silently smoothed.
  4. Write duty statements against the occupational description: Concrete, verifiable duties in the assessor's vocabulary, with an indication of level and supervision.
  5. Sign with verifiable authority: Signatory's name, position and contact details, on letterhead, with the company seal where the employer uses one. Assessors do call.
  6. Translate and certify: Certified Thai-to-target-language translation with consistent name transliteration, then MFA certification and embassy legalisation where the destination requires the chain.

When the employer will not cooperate

Employers close, are acquired, or simply decline to write letters for former staff. This is common enough that a standard workaround exists and it does not depend on the employer at all. Social Security records establish the employment relationship and its duration from government data. Tax filings establish the income. A statutory declaration by the applicant, corroborated by declarations from identified former colleagues, supplies the duty content, and the DBD extract establishes that the employer existed and what its registered objectives were.

That package is weaker than a full letter with records behind it, but it is materially stronger than an unsupported letter, and assessors treat it as a recognised alternative rather than a red flag — provided the applicant explains the absence of the letter openly. Concealing why the letter is missing is what turns a manageable gap into a credibility problem.

Common mistakes and how we avoid them

Submitting a letter that confirms dates but not duties
Rewrite with duty statements, hours and reporting line mapped to the assessor's occupational description.
Using a trading name instead of the registered company name
Take the registered Thai and English names from the DBD extract and use them consistently across the whole bundle.
Selecting favourable payslip months
Provide a continuous run. Selective evidence invites a request for the rest, and the request costs weeks.
Different transliterations of your name across documents
Match the passport spelling exactly in every translation, including the employer's letter.

More questions we are asked

Does the certificate need legalisation?
It depends entirely on the destination. Many skills assessments accept a certified translation; licensing regulators and some consular processes require MFA certification and embassy legalisation. Confirm before starting the chain.
Can a manager sign personally rather than the company?
It is acceptable on company letterhead where the manager's authority is evident from their position. A personal letter without letterhead carries much less weight.
I was paid partly in cash. What should the letter say?
Evidence what is documented and explain the remainder in a statutory declaration. Claiming undocumented income creates a discrepancy that is harder to defend than a modest evidenced figure.
How far back can Thai employment be evidenced?
Social Security contribution histories reach back many years, which is often the deciding evidence where the employer no longer exists.
Do you contact the employer directly?
With your authorisation, yes. Providing HR with a drafted letter to review is usually faster and produces a better document than asking them to write one from scratch.

Frequently asked questions

What exactly does 'MFA legalization' mean in Thailand?
MFA legalization is the certification stamp issued by the Legalization Division of the Department of Consular Affairs, Ministry of Foreign Affairs, confirming that the signature and seal on a Thai document — or on its translation — are genuine. It does not verify the content of the document, only the authenticity of the official signature, which is why the underlying document must first be a genuine original or a certified true copy from the issuing office.
How much does legalization cost and how long does it take?
The government fee is a fee quoted after review for the normal service, generally about three working days, and a fee quoted after review for the express service returned on the next working day. Fees are charged per stamp, so a document plus its translation is normally two stamps. Agency handling, courier and queue fees are separate and quoted before we start.
In what order do the steps have to be done?
The sequence is: obtain the original or certified true copy from the issuing Thai office, translate it, legalize both at the Department of Consular Affairs, then submit to the destination embassy for its own legalization if that country requires it. Doing the embassy step before the MFA step will get the file rejected, and translating before you hold the correct certified copy usually means paying for the translation twice.
Does every country require embassy legalization after the MFA stamp?
No. Some countries accept the MFA stamp alone, others require their embassy in Bangkok to add a consular certification, and a few require additional chamber-of-commerce or ministry steps for commercial documents. We check the current requirement of the specific mission before submission, because embassy rules and appointment systems change frequently.
