Q1054. What are the steps for translating Commercial Invoices for customs clearance procedures?

Answered by the NYC Visa & Translation certified translation team

Commercial invoices for Thai customs clearance are normally issued in English and accepted directly — Thai Customs' e-Customs system processes English invoices, and no translation is required for standard clearance. Translation becomes necessary in three situations: invoices in a third language (Chinese, Japanese, Korean supplier invoices), where a Thai or English translation must accompany the declaration; post-clearance audits, where the full transaction file may need Thai translations for the audit officer; and disputes over valuation or classification, where correspondence and contracts need certified translation. What customs examines on the invoice: the seller and buyer identities, the Incoterm and currency, the unit prices and totals (transcribed exactly — never re-calculated in translation), the country of origin statement, and any assists or royalty declarations. Translation errors that trigger queries: product descriptions that diverge from the declared HS classification, payment terms omitted, and discount or rebate notes left untranslated — all of these affect dutiable value. For Thai exporters, the invoice is issued in English as standard practice. Where a certified translation is needed for a dispute or audit, use a translator familiar with customs valuation terminology, and confirm with the customs broker whether the translation needs MFA certification (200/quoted on request per stamp) for the specific proceeding.
