Q1201. What pre-submission quality audit steps prevent rejection at the MFA?

Answered by the NYC Visa & Translation certified translation team

Pre-submission quality audits prevent MFA rejection — and the MFA's rejection reasons are known and checkable. The audit checklist before submitting to the Consular Affairs Department: the translator's signature and seal (the MFA requires the translation to be signed by the translator — an unsigned translation is rejected), the translation's completeness (every page, stamp, and annotation of the original must be translated or accounted for — a missing stamp translation is a rejection), the name consistency (the names in the translation must match the original's romanisation exactly — a name spelled differently from the passport or the original document triggers rejection), the document's own validity (the MFA certifies translations of genuine, current documents — an expired or damaged original fails), and the supporting documents the MFA requires (the copy of the original, the applicant's ID, the request form). The physical preparation: the translation is printed cleanly on plain paper with the translation company's or translator's identification; the original and the translation are presented together; and the fees are prepared (quoted on request per stamp normal, quoted on request express). Points that matter: the MFA checks the translation against the original — material discrepancies (dates, numbers, names) are rejections, not corrections; documents in poor condition (faded, torn) may need re-issuance before the chain; and the embassy legalisation step after the MFA has its own checks (each embassy's requirements differ). Practice points: a pre-submission review by the translation provider against this checklist catches the common failures; and for the express counter, arrive with the complete set — a rejected express submission loses the day. Confirm the MFA's current requirements before the visit.
