Q1040. What are the guidelines for translating foreign military service records for visa or residency purposes?

Answered by the NYC Visa & Translation certified translation team
Foreign military service records appear in Thai filings mainly for retirement and long-stay visas (as background evidence), for marriage registration where a home country requires proof of service status, and for nationality or security-clearance contexts. The translation workflow: the record (service certificate, discharge papers such as a DD-214 for the US, or a service book extract) is legalised through the home-country chain where the receiving office requires it, translated into Thai or English, and MFA-certified (200/quoted on request per stamp). Content cautions: military records use service-specific abbreviations and rank structures that must be rendered with the equivalent explained — a rank abbreviation translated literally can misstate the person's status; discharge characterisation (honourable, general, etc.) is a defined legal term in the issuing country and must be translated precisely; and records containing classified or restricted markings should not be submitted at all — obtain the releasable version from the service records office. For US records, the DD-214 is obtainable from the National Archives; for UK records, from the Ministry of Defence's disclosure service; both take weeks, so order early. Where the record supports a visa application, confirm with the receiving immigration office whether it needs the full record or a summary certificate, as the translation volume differs greatly.
