Q1178. What quality management rules govern ISO 9001 standard translations?

Answered by the NYC Visa & Translation certified translation team
ISO 9001 quality management certification documents are the most frequently translated certification in commercial practice — customers, tenders, and regulators ask for them routinely — and the translation discipline follows the certification's evidential role. The documents: the certificate (the scope statement — which products, services, sites, and processes are certified — is the operative content, translated exactly because the receiving party checks it against what they are buying; the validity dates, the certification body, and the certificate number are transcribed), the audit reports (findings and nonconformities), and the quality manual and procedures where requested. Rules that matter: the certificate's accreditation marks (the national accreditation body's mark, the IAF MLA recognition) are what make the certificate credible — a certificate from an unaccredited certification body carries little weight, and the translation should preserve the marks' identification; the 2015 edition is current — a certificate to an older edition is expired; and the scope's exclusions (permissible under the standard's rules) must be visible in the translation. Points that matter: for tender submissions, the certificate is usually required with a validity buffer (tenders often require the certificate to remain valid through the contract period); the certificate is verifiable with the certification body — keep the verification route available; and for group certificates, the site list defines the coverage. Practice points: keep the translated certificate current with the three-year certification cycle and annual surveillance; and where the customer asks for the audit report (deeper due diligence), agree with the certification body and the audited company what may be shared — audit reports are confidential documents.
