Q1005. What is the proper legalization workflow for Japanese official and business document translations in Thailand?

Answered by the NYC Visa & Translation certified translation team
Japanese official documents (koseki tohon family registers, juminhyo residence certificates, corporate tokibo tohon) follow this chain for Thai use. Step 1: obtain the original from the Japanese municipal office or Legal Affairs Bureau — Thai authorities generally require issuance within the last 3 months. Step 2: translate Japanese to English or Thai; because the MFA certifies only Thai–English pairs, most files go Japanese→English first. Step 3: MFA certification of the English translation (200/quoted on request per stamp). Step 4: where the receiving office requires it, legalisation by the Japanese Embassy in Bangkok, which has its own appointment and fee schedule. Step 5: submission to the Thai authority. Timing: municipal issuance 1–2 weeks if requested from Japan by post, translation on a timeline confirmed after document review, MFA on a timeline confirmed after document review, embassy layer on a timeline confirmed after document review — plan 3–5 weeks end to end. Key cautions: koseki records contain old character forms and handwritten entries that need a translator experienced with Japanese civil documents, and the family register lists all household members, so check which extracts the Thai office actually needs before paying for a full translation. Confirm current requirements with the receiving office.
