Three terms, three different systems

A certified translation is a translation accompanied by a signed statement from the translator or translation company attesting that it is accurate and complete. This is the standard requirement in the United States, United Kingdom, Canada, Australia, and most immigration systems — no government appointment of the translator is needed, but the certification statement must meet the receiving authority's format.

A sworn translation is produced by a translator who has been officially appointed or sworn in by a court or government body — common in civil-law countries such as France, Germany, Spain, and Italy. Only a sworn translator registered in that country can produce a translation that is automatically accepted there. A notarized translation is any translation whose translator's signature is witnessed by a notary public — it verifies the signer's identity, not the translation's accuracy.

Which one does your destination country require

As a general rule: the US, UK, Canada, Australia, and New Zealand accept certified translations; Schengen civil-law countries often require sworn translators registered in their own country for documents used in court or civil registries; and many embassies in Thailand ask for certified translation plus legalization at the Ministry of Foreign Affairs. Requirements differ not only by country but by document type and receiving office.

Because Thailand is not a party to the Hague Apostille Convention, documents legalized for use abroad typically follow the chain: certified translation → MFA legalization → embassy legalization of the destination country. Always confirm the exact chain with the receiving authority before commissioning any translation — requirements change and individual offices may apply them differently.

How to avoid document rejection

The most common rejection causes are: names spelled differently from the passport, missing translator certification statements, translations of only part of the document (stamps and seals must be translated too), and an incomplete legalization chain. A translation that is accurate but formatted incorrectly can be rejected just as easily as a wrong one.
